Exporting data to accounting

Asset records and accounting have to agree — under the Accounting Act, inventory differences are posted to the period the inventory covers. This page explains what accounting documents Správce majetku produces and how to get them into your accounting system.

We do not offer a direct link to accounting systems yet

Správce majetku has no automatic integration or API connector to specific accounting systems. Data is transferred by exporting a file that you then import into your accounting software. We say so up front so you can decide accordingly — and we are happy to help you set the export up and map the columns.

What accounting documents the app produces

The reports are pre-configured and can be filtered by cost centre, location or responsible person.

  • Depreciation plans and overviews of tax and accounting depreciation
  • Inventory lists and inventory reports
  • Asset acquisition and disposal protocols
  • Asset cards with movement history
  • Annual statement of changes for audits and for the founding authority

Formats you get the data in

Excel (XLSX)

The main format for handing data to an accountant. You can pick and reorder the columns before exporting to match what your accounting system expects on import.

CSV

A machine-readable format for bulk import. It also works the other way round — for the initial load of records from your existing system.

PDF

For printed reports filed with your documentation — inventory reports, protocols and asset cards.

Step by step

A typical annual cycle looks like this:

  1. Close the inventory in the appScan the assets with a phone, settle shortages and surpluses, and generate the inventory report.
  2. Generate the depreciation and inventory reportSelect the accounting period and cost centre. The app calculates tax and accounting depreciation under current legislation.
  3. Export to Excel or CSVBefore exporting, set the columns so they match your accounting system’s import template.
  4. Import the file into accountingUse the standard import function of your accounting software. File the PDF reports with your inventory documentation.

Will it work with our accounting system?

Yes — an Excel or CSV export can be processed by practically every accounting package used in the Czech Republic, including POHODA, Money S3 and S5, ABRA, Helios, iFIS and GINIS. Správce majetku does not talk to them directly, but it prepares the file you import into them. If you are unsure what column structure your system expects, get in touch and we will help you configure the export.

Frequently asked questions

Do you have a connector straight into POHODA or Money?

No. Správce majetku has no automatic connector or API integration into specific accounting systems. You hand over the data as an Excel or CSV export, which you import into your accounting system.

How often should records be reconciled with accounting?

At least once a year during the regular inventory at the balance sheet date. Act No. 563/1991 Coll. on Accounting, Sections 29 and 30, requires establishing the actual state of assets and verifying that it matches the accounting records.

Does the app calculate depreciation itself, or do I enter it?

The app calculates tax and accounting depreciation automatically from the depreciation group and method you select. You export the result as the basis for posting.

Can we load data from our system into Správce majetku instead?

Yes. Bulk import supports Excel and CSV files. We will help you with the data structure and the initial migration.
